Vacancy Description

The Liaison and Diversion Service are looking for an Apprentice Administrative Assistant to support the efficient and effective service delivery with duties which include contact with the general public and partners, answering telephones, using IT systems, data collation, taking minutes in meetings, etc. Your development and training will be supported by the L&DS Administrative Lead and team administrator. This is a fixed term post for 19 months.

During the course of your training, you will develop and be responsible for:

IT Skills:

– Creating and using spread sheets (to set up the team rota, devise the court diary, devise the custody handover sheet)

– RiO (recording of patient information, monitoring for unvalidated notes, allocating cases on RiO)

– Assisting with team data and report monitoring.

– Oracle purchasing systems.

– Microsoft office, word processing, windows, Excel

– Emails/NHS mail/Microsoft outlook

– Microsoft teams, WebEx, skype

– Maintaining up to date information in team folder

– Monitor mandatory training and remind the team to keep up to date

– Purchase train tickets via Redfern for team members upon request.

Maths skills:

– Data collation to support NHSE monthly data returns

General duties:

– Answering the telephone, taking messages, and forwarding and recording relevant information as required

– Customer service skills to include contact with the public, service users, partner agencies, etc

– Photocopying leaflets (ensuring satellite bases, custody suites, notice boards are stocked)

– Completing GP letters to out of area GP’s

– Completing minutes

– Attend and engage in team training days

– Maintain and contribute to a tidy office

– Raise any health and safety concerns promptly

– Be observant of Health and Safety requirements in various sites

– Be observant of policies, protocols, processes

– Attend Supervision as required

– Maintain and review IT/equipment asset log.
