Job summary

We are looking for an enthusiastic and motivated individual to join our Pay Services Team in the role of an Apprentice in our Pensions team. This is an 18 month fixed term contract. If you are interested in a secondment for this role, it can be facilitated.

Our aim is to ensure all Trust colleagues receive a timely, professional pensions service from our team. We already provide a first class customer service to our colleagues with a dedicated Pay Services Helpdesk, with a dedicated Pensions mailboxes to facilitate enquiries. Our Pay & Pensions intranet page receives an average of 10,000 hits per month.

The post will support the Pensions team in all aspects of the pensions service.

We will support your studying of the Level 3 NVQ in Business Administration, whilst on your apprenticeship.

The main duties of this role are to provide a first class customer service to our colleagues via our dedicated Pensions Mailbox and assist with all aspects of Pensions administration. Please see the details in the job description and main responsibilities, below.

About us

Our friendly and professional team comprises of 27 colleagues, we have 7 management staff, 10 Payroll Officers, a Pensions Officer, 2 Technical Support colleagues and 7 Administration staff.

Our team are currently working both in the office and from home, with some preferring to be solely office based. We also offer flexible working hours where colleagues can start before 9am and finish as late as 6pm.

We communicate with each other daily using MS Teams and Cisco Jabber (phone). We hold monthly Team Meetings and the management team meet on a weekly basis.

KEY JOB RESPONSIBILITIES

Tasks related to the NHS Pension Scheme, including:

Recording of refund and opt out application forms

Issuing transfer packs

Logging Termination (T) Forms – ensuring these are forwarded onto the appropriate colleague in the Pay Services Team in a timely manner

Preparing and sending out AW8 Retirement packs

Preparing and sending out Pension Estimates

Logging and processing Pension Joiner Forms

Completing Pensioner Re-employment Forms

Assist with resolving Errors on the Pensions On Line system

Tasks related to the NEST Pension Scheme, including:

Performing monthly Automatic Enrolment uploads onto NEST for any employees not eligible to join the NHS Pension Scheme

Dealing with opt out enquiries for NEST

Other Duties

Responsible for Pensions Mailbox. Where a query cannot be resolved, ensuring they are passed on to the appropriate colleague within the department or Trust. Ensuring email queries are dealt with in a timely manner.

Assist with the completion of forms for Ill Health Retirements

Managing appointments for the B3 Pensions, Benefits and Administration Clerk in terms of the Pension Journey

Assist Pensions Team with project work eg. auto re-enrolment

Filing and scanning Pensions paperwork

Completion of monthly statistics on workloads within the Pensions Team

Completion of monthly pension audits

Collection, opening and distribution of incoming mail; delivery of outgoing mail to the collection point at the appropriate time to ensure timely dispatch of Pensions correspondence

Participate in the Pay Services Helpdesk, taking and resolving Pension queries at call wherever possible. Where a query cannot be resolved at call, ensure that calls are logged and referred to the appropriate colleague in the Pensions Team

Logging calls in respect of IT issues with the Trusts helpdesk

Any other duties as and when required as appropriate to the position
